What is a brand book? What to include, with a checklist

The short answer

A brand book is a document that explains how your brand looks, sounds and behaves, so anyone who makes something for your business, from a designer to a new hire, gets it right the first time. It usually covers your logo and how to use it, colours, typography, photography style, tone of voice and real examples such as stationery and social media posts.

What a brand book is (and what it isn’t)

Think of a brand book as the instruction manual for your identity. Your logo is one piece of your brand. The brand book is what keeps every piece consistent: the website, the business card, the Instagram post, the sign on the door and the email signature.

You will hear several names for the same thing: brand book, brand guidelines, brand style guide and brand manual. In practice they overlap. When there is a difference, it is scope. A style guide often covers only the visuals, while a complete brand book also records the strategy behind them: who the brand is for, what it promises and how it speaks.

A brand book is not a folder of logo files, and it is not a mood board. A mood board is for exploring ideas. A brand book records decisions that have already been made, so nobody has to make them again.

What to include in a brand book

A useful brand book answers the questions people ask when they make something for you. These ten sections cover most businesses. Tap a section to add it to the book and see what it is for.

Why a small business needs a brand book

  • Recognition. People remember what they see the same way again and again. Consistency is how a small brand starts to feel established.
  • Faster, cheaper work. Designers, printers and freelancers stop guessing, so there are fewer rounds of changes.
  • Fewer mistakes. No stretched logos, no wrong shade of blue, no old phone number or email on a new flyer.
  • Easier growth. A new employee or partner can learn how the brand works in an afternoon.
  • One brand in two languages. If you sell in English and Spanish, the brand book keeps both versions consistent instead of letting them drift apart.

Brand book examples worth studying

Many large organizations publish their guidelines. Three classics show different strengths: the NASA Graphics Standards Manual from 1975, famous for its precise logo rules; Mailchimp’s Content Style Guide, a model for voice and tone; and Spotify’s design guidelines, which show how a brand works inside other people’s products. Search for any of them by name.

Brand book template or a designer?

A brand book template is a good way to organize what you already have. If your logo, colours and fonts are settled and you only need to write them down, a template can be enough.

A template cannot make the decisions for you, though. If your logo does not work small, your colours do not print well, or your brand looks different on every channel, you need design work first and documentation second. A brand book is only as good as the decisions inside it.

How Digital Siblings builds a brand book

We start from strategy, then design the identity, then write it down. A Digital Siblings brand book includes the visual identity chapter (logo, clear space and minimum size, correct and incorrect uses, use on busy backgrounds, colour palette and photography style), up to five stationery pieces such as letterhead, envelope, business card and invitations, up to three print pieces such as a flyer, a printed ad or a billboard, and social media and web views.

You receive editable files for every piece, and we agree the timeline with you at kickoff. If you sell in English and Spanish, the voice section is written natively in both. See our questions and answers or tell us about your brand.

Questions about this topic

What is the difference between a brand book and brand guidelines?

Mostly the name. Both explain how to use a brand. When people separate them, brand guidelines (or a style guide) cover the visual rules, and a brand book also includes the strategy, story and voice behind them.

How long should a brand book be?

As long as it needs to be and no longer. For a small business it is usually a compact document. Length matters less than whether every page answers a question someone will actually ask.

Does a small business really need a brand book?

If more than one person creates things for your business, such as a designer, a printer, an assistant or a social media freelancer, yes. It is the cheapest way to keep everything consistent.

Should my brand book be bilingual?

If you market in English and Spanish, yes, at least the voice and tone section. Write examples natively in each language rather than translating them, so both versions sound like the same brand.
